Step By Step Planning Checklists To Pull off That Epic Party

You want to have THE EPIC PARTY, so why put planning it off to the last minute?  Parties can be fun but if you want to squeeze the most out of the one you’re planning, here are some checklists you should follow to make your party go off as perfectly as possible.  We’re aiming to not only make your event the most talked about but also to take some of the stress of the everyday part of planning it.

Before the party

Plan early.   The earlier the better.  The following checklists start four weeks before but if you follow this you will find things will go much more smoothly when the big day arrives.

Checklist #1 – Four to six weeks before

  1. Choose a theme.
  2. Make a guest list.
  3. Pick a date and time.
  4. Decide if it will be indoors or outside.
  5. Decide if you will have it at home, go to a park, or pay for a hall.
  6. Decide on the day’s activities; what time to eat, what games to play, what crafts to do, etc.
  7. Order your party supplies; including favors, decorations, wrapping paper, tape, plates, plasticware, cups, and piñatas.
  8. Order your entertainment; get written receipts and read those contracts. (i.e. music and dj, magician, clown, farm animals, balloon bouncer, etc.)

Checklist #2 – Three weeks before

  1. Send out invitations; asking for RSVP’s by a certain date and time. Place a list of those you invited next to the phone to record RSVP’s.
  2. Go over directions for the games and make sure you have everything.
  3. Go over directions for the crafts and make sure you have everything.
  4. Go out and purchase anything you may be missing for games and crafts.
  5. Solicit help from family members and friends. (i.e. clean up, games, taking pictures, answering phones and doors)

Checklist #3 – Two weeks before the BIG DAY!

  1. If you haven’t received any RSVP’s, call to make sure they are coming.
  2. Confirm your helpers can still attend and what their duties will be.
  3. Pick out prizes for games and wrap them.
  4. Order the cake.
  5. Confirm your entertainment.
  6. If this is an adult party, hire your babysitter.

Checklist #4 – One week before

  1. Call all confirmed guests and remind them of the big day, double checking directions.
  2. Purchase, batteries, video tape/SD Cards  and back ups (Just in case).
  3. Purchase food and candies.
  4. Make up the goodie bags based on confirmations.
  5. Prepare the crafts and games.

Checklist #5 – One day before

  1. Prepare your foods ahead of time.
  2. If anything can be cooked and reheated, now is the time.
  3. In the evening, when everyone is in bed, clean the house and set up the party spot.
  4. If you rented a bus, call and make sure it’s prepared
  5. If you are doing in the park, you’re going to have to wait until the day of and cleaning isn’t going to be easy

Checklist #6 – Day of the BIG DAY!

  1. Pick up any cake or bakery item that goes with the event.
  2. Blow up and set out balloons four hours before the event.
  3. Shower, get dressed, ready the kids.
  4. HAVE FUN!

Week after the party

Send out thank you notes to all the helpers and those who gave gifts!
